Senior Events Manager

Overall purpose
In this role, you’ll oversee and take charge of all aspects of the project lifecycle of managing ground transportation for high profile events. As you will be managing the full cycle its essential that you are exceptionally organised with outstanding administration skills.

Building relationships with all key personnel you’ll work to understand business requirements, demands and challenges of each project; you’ll then construct project and resource plans, leading the implementation to ensure excellent service delivery.
Main responsibilities
  • Event management of all areas of ground transportation as required
  • Creating process documents and ensuring the processes are followed through
  • Day to day operational management of projects and staff allocated, so as to assure revenue and profitability targets are met.
  • Understanding the brief and budget make up on projects, understand the scope of works and conditions of contract and ensuring delivery within these parameters in line with client expectations
  • Assuring the timely and accurate delivery of projects, including the production of factual reports
  • Communicate effectively internally with regular updates to management
  • Process job updates
  • Handle client and supplier queries
  • Job quotations
  • Follow up on missing information to fully complete each booking
  • Handle any special requests for clients
  • Assign appropriate suppliers to reservations and sourcing new suppliers when necessary
  • Record feedback in the system as required
  • The identification of new business opportunities, services and products in conjunction with the Sales Director
  • Day to day planning of operations and problem solving
  • Answering correspondence relating to the project
  • Ensure any special instructions, requests or quotes are added to relevant jobs
  • Ensure all costs and quotes are captured on working documents
  • Inform Sales team of accounts progress and arising issues
  • Establish and maintain effective working relationships with co-workers, clients and suppliers
  • Manage supplier relations
  • Negotiation of buy in rates for large events
  • Detailed project plan for all Events detailing responsibilities timeframes etc
Skills required
  • Suitable service delivery experience
  • Strong understanding of the need for Quality within the project environment
  • Experience in leading a project team
  • Awareness of internal and external standards of procedures
  • Knowledge of budget monitoring & commercial awareness
  • Good attention to detail
  • Must be process driven
  • Demonstrable track record of delivering events on time and to budget
  • Acute analytical, planning and organisational skills
  • Be capable of managing and leading all deliverables for multiple events
  • Excellent communication and presentation skills with an ability to build strong relationships
  • Fluency in second language, speaking, reading, writing (desirable)

Experience & Qualifications

  • Minimum 3 years working in a similar role
  • Transport industry experience
  • Vast onsite events experience
  • Events management degree or equivalent  (desirable
  • Proven track record in delivering project management for small and large scale events )

  • Pursue personal development of skills and knowledge necessary for the effective performance of the role, attend training when required
  • Maintain regular and professional attendance, punctuality, personal appearance
  • Any other duties as required by management
