Reservations Coordinator

Overall purpose
Effectively manage clients' ground transportation requirements. Delivering a high quality of service to all clients from initial enquiry stage thorough to completion, working closely with our global teams to constantly strive for excellence.
Main responsibilities
  • Processing incoming email/phone enquiries,
  • Using TBR bespoke system to input client bookings and updates in an accurate and timely manner
  • Handling client and/or supplier queries within agreed service level agreement
  • Advising clients on feasibility of schedules and checking for discrepancies, always delivering excellence
  • Following up on missing information to fully complete each booking, ensuring all relevant data is captured
  • Provide quotes and following up as required
  • Working with existing supply chain and source new suppliers globally when necessary
  • Writing detailed handovers to nightshift/weekend staff when applicable
  • Recording feedback on jobs as required
  • Establishing and maintaining effective working relationships with co-workers, clients and suppliers
  • Informing sales team of account progress and arising issues
  • Sharing workload and support as part of a team
Skills required
  • Experience of working within a service/sales environment
  • Experience of delivering high quality customer service
  • Proven track record of successfully delivering against targets
  • Experience operating in a fast-paced environment
  • Must have an exceptional eye for detail
  • PC literate, familiarity with the Microsoft Office Suite is essential
  • Excellent organisational skills and prioritising abilities
  • Ability to work effectively under pressure
  • Flawless communication
  • Fluency in a second language would be advantageous
  • Travel industry experience is preferable but not essential
