Major Events Project Manager

Overall purpose
A role with the Global Events Team, procuring, managing and working on global and domestic ground transportation and logistics management events.
Main responsibilities
  • Understand the brief and budget make up on projects, the scope of works and conditions of contract and ensure delivery within these parameters in line with client expectations
  • Project manage all areas of event ground transportation and logistics as required
  • Creation of client presentations and preparation of client status updates, as necessary
  • Day to day operational management of projects and staff allocated, to assure revenue and profitability targets are met
  • Creation, adaptation and ongoing development of project management tools such as project plans, organizational structures, project manuals, etc. in liaison with the Senior Project Team
  • Assure the timely and accurate delivery of projects, including the production of factual reports
  • Communicate effectively internally and with client and regional teams as appropriate
  • Record client and project feedback as required and pursue improvements to meet client KPI’s
  • Use proprietary TBR In-house Event System and process job in system as required
  • Use global resources and technology to drive regional operational efficiencies in line with strategy priorities
  • Plan and attend host city recces, client site visits and meetings, as and when required
  • Source, contract, coordinate and build up a bank of event freelancers for the support of domestic and global events
  • Establish appropriate supply chain with TBR regional offices for each service line whilst maintaining quality
  • Oversee staff workload and onsite staff schedules and develop a clear understanding of the team roles, responsibilities and expectations
  • Prepare and carry out pre-event and onsite training for the team to be fully conversant with all aspects of the project
  • Assisting with other ad hoc domestic or global projects and events as required by the Heads of Major Global Events
  • Research, market screening, approach & recommendation of tender candidates / suppliers
  • Establish and maintain effective working relationship and be a close liaison with the Senior Project Team, client, co-workers and suppliers to ensure smooth delivery of project
  • Inform line manager and sales team of accounts progress and arising challenges and issues
  • Planning, coordination and organization tender workshops, concepts & documents in cooperation with Global Events Team and evaluate results and recommendation for supplier rankings
  • Set up tender response process, concepts & documents in cooperation with Global Events Team and evaluate results and recommendation for supplier rankings
  • Lead and produce sales presentations and proposals for pitches if and when required
  • Development of scope of services for dedicated supplier and setting of suppliers KPIs
  • Oversight of NDA and supplier contract processes
  • Overall steering and coordination of supplier regarding all project topics
  • Build and maintain a sales pipeline alongside accurate forecasting
  • Financial quotations, planning and reporting
  • Budget management, cost analysis and supplier negotiations
  • Ensure any special instructions, requests or quotes are added to relevant jobs
  • Financial reconciliations with suppliers as required
  • Coordination of all parties regarding supplier guidelines, payment terms and VAT handling
  • Financial administration
  • Maintain legal compliance within region
Skills required
  • Prince 2 or PMP qualification or equivalent
  • A minimum of 8 years of events operations
  • Proven experience of new business generation and account management
  • Knowledge of budget building, monitoring & commercial awareness
  • Personable and able to build strong professional relationships
  • Acute analytical, planning and organizational skills
  • Familiar with online database management tools
  • Excellent communication and presentation skills
  • Enthusiastic, self-motivated and pro-active
  • Leader and equally a team player
  • A proven ability to negotiate at C-level
  • Education to degree level
  • Great attention to detail and rigor
  • Excellent time management
